Overview: We would like IntakeQ to automatically associate specific session types with the corresponding note templates. This would ensure that the correct type of note populates when a provider conducts an intake, individual, couples, or group session—reducing errors and improving documentation consistency. Current Limitation: At present, all note templates appear as options regardless of session type. This allows users to accidentally select an irrelevant note (e.g., a couples note for an individual session or vice versa). It also requires clinicians to manually locate and select the correct note, adding unnecessary steps and increasing the risk of documentation mismatches. Proposed Functionality: Automatic Note Matching: When a client’s session is labeled as an Intake, the system should automatically open or suggest the Psychosocial Intake Note. When the session is labeled as Individual, only Individual Session Notes should be available. When the session is labeled as Couples, only Couples Notes should populate. When the session is labeled as Group, only Group Notes should appear. Filtering Logic: The system should filter out unrelated note templates based on the session type. Administrators should be able to define the mapping between session types and note templates in the account settings. Benefits: Streamlines the clinician workflow. Reduces note entry errors and mismatched documentation. Improves compliance and consistency in charting. Saves time for clinicians and administrators. Example Workflow: A clinician schedules a “Couples Session.” When documenting, IntakeQ automatically opens or limits options to couples note templates. If an “Intake Session” is selected, the Psychosocial Intake Note automatically appears. For “Individual Sessions,” the clinician only sees the individual note template. Optional Enhancement: Add a toggle or setting in the admin panel under Settings → Notes → Template Management that allows mapping note templates to specific session types or service codes.
