Conditional Automation Triggers Based on Client Status + Missing Documentation
W
William Schroeder, LPC
Summary:
Enable automation rules that can trigger based on a combination of client status (e.g., "Active") and the absence of a specific form or note (e.g., no Termination Note completed).
Use Case:
In clinical settings, it's critical to ensure that when a client is marked "Active" beyond a certain time frame without a corresponding Termination Note, staff are alerted to follow up. Currently, IntakeQ does not support conditional automation based on the absence of a specific document or form entry.
Requested Functionality:
Allow automation triggers to include logic like:
If client status = Active AND Termination Note not submitted (or custom field/tag is blank) → then trigger Task/Alert/Email.
Ideally, support the ability to:
Check for absence of a specific form/note (e.g., by name or tag)
Evaluate custom fields or tags in automation conditions
Trigger internal tasks or reminders based on that logic
Benefits:
Reduces manual tracking for compliance-critical tasks
Prevents clients from remaining Active in the system without formal closure
Improves clinical workflow oversight and audit-readiness
