Doesn’t totally solve it but in case this helps, 1) we put it in our intake forms (cancellation policy that is a signed consent form…as well as in portal widget that they agree to) that they have to use the portal to cancel, the time limits for it etc. Also, at the bottom of email templates we added a line that it’s a no reply email. It technically is not but it is to us. 🙃

Amy Zipp thank you we do this too but people still email and respond and having in all bold caps not to respond to the email looks pretty rude but it is the only way we can stop them from thinking they can attach documents that are not secure or cancel at the last minute by responding to the email reminder. UGH they will always find a way!
