Tyson Edwards: someone made a great suggestion to have the appt change color once the note is locked... if this is easy to do it would be a quick way to see what is done and we only need to see the color to distinguish which appt it is... so once we have seen the client the appt color doesnt matter as much

Actually the more I think about this I would love a filter in the booking screen to be able to see the notes for that appointment right on the appointment. Like under options on the booking screen has the ability to show and hide certain things. I would like option to "show appointment notes"

So would just a locked and unlocked icon suffice for the Note status?

Tyson Edwards: Yes if it were on the booking page on their appointment time slot.

Tyson Edwards: For note status? That makes sense.

Tyson Edwards: Yes!

Tyson Edwards: That works! Would also love to see a $ if appt is paid

Tyson Edwards: I would also love this on the Bookings page as well. A pop-up window while hovering over the client name, or even when you click on the client's name to see the appointment information that would work too. :-)

Tyson Edwards: lock unlock icon for note status would be good for sure! You should attach the icons to the client, that way it ports over easily when you guys update the calendar for group appointments.
Also add a pen to the lock icon to signify if the note has been signed by all required parties
I'd like to see a colored $ icon for appointments regarding payment status, green color for appointments that have been fully paid, light yellow for client balance due paid, dark orange for insurance balance due paid, red for unpaid claim/invoice that was created x days ago. Maybe a dual purpose icon, picturing a $ inside a square. The square outline color indicates claim status, square fill color indicates invoice status. Black outline = claim not created, light blue outline = claim created, dark blue = claim sent/unpaid, light green = insurance paid their portion. Similar style with box fill color. White = invoice not created, light purple = invoice created, dark purple = invoice sent/unpaid, dark green = invoice paid. When you hover over the icon a pop-up explains what current icon status is, ie "client balance due paid, invoice paid, insurance claim sent/unpaid"

Tyson Edwards: That would be great, and also a way to see if there's not a session note started at all. Maybe a pencil? or a greyed out unlock? Not attached, just something!
Also to add to the flyout ideas, seeing if a superbill has been sent for that session would be amazing. If not that, then a report of all unsent superbills would work too. Thanks for all your work here!

Tyson Edwards: Yes, that would be very helpful! Thank you!

Tyson Edwards: Please have something about payment and include any notes from the appointment screen.
D

Tyson Edwards: yes that would be great. Maybe a locked if note is signed and completed, unlocked if started but not yet completed and another lock icon if note is completed but needs co-signature.

Tyson Edwards: Yes, both on the Booking Page (in Calendar AND List views) and on the Client Timeline please!

Tyson Edwards: The thing that would be MOST helpful, in my humble opinion, would be for appts with completed locked notes to be routed to billing so that billing could create bulk claims for appts with completed locked notes. I think this is a huge deal for most mental health practices as appts should not be billed without a completed note. Right now, the way the system is set up, you cannot create bulk claims for only locked, completed notes. (also the system only recognizes an appt as completed when the appt time passes---not helpful at all). For larger practices with large volume of appts, having completed locked notes automatically sent to billing would be ideal, but if the biller could sort by note completion, this could help immensely.

Tyson Edwards: From a supervision standpoint the red, yellow, green (not started, started, signed) status system would be exceptionally helpful.

Tyson Edwards: For me, yes a binary visual indicator is what I need. Not sure if a lock icon conveys "signed" the best, though.
