A Practice Document Library that Can Be Shared w/ Clients
under review

Right now, it is quite difficult to share files/handouts, etc with clients.
There is a files section in the system under the client chart that could be used for this, and we just mark them as shared.
Also, a shared document library, or way to have "practice handouts or forms" that we can upload once and then share with clients, basically the way forms are done now, would be great.
Right now, if I want to share the same file with multiple clients, I need to upload it via the client messaging portal each time. This is very time consuming.

any update on this request?

yes especially if I have an updated document I need all clients to sign. Right now I would have to send it all individually for them to access from their portal.

This is the most needed Feature on IntakeQ!!

This would be a game changer. In addition to files that are pdf, if we could upload video modules because I wind up saying the same thing over and over and have to use a different platform to hold my video teachings.

I think it would be helpful to create a rule that would allow you to automatically upload a document that has been previously saved in your "library" (such as patient education handout) to the patients portal if a certain box was checked. For example, If in my treatment note I had a multiple choice/multiple answer question with a list of 10 handouts that I might want to give to a patient via their portal. I could click on several of them and they would automatically upload to their portal. Would be much more efficient.

Admin Facing and Staff Facing is a much needed feature. Client facing is a great addition but is very similar to share document feature that already exist in the software. Essentially, all these features would be a great addition to Practiceq. Great work! This will significantly improve our process. Looking forward to seeing these new features.

Hello, I have some thoughts on this. Please take a look and provide any feedback!
Use Cases (Thanks Bobbi:)):
Client Facing: Practice handouts or forms that you can upload once and then share with clients
Admin Facing: Director/Owner/Administrator to store important practice documents. Examples of such documents include Articles of Organization, NPI and Taxonomy certifications, Malpractice Insurance for all of the clinical staff, Casualty Insurance, BAA Agreements, W9's etc.
Staff Facing: Practice handouts or forms that can upload once and send to employees.
Managing Practice Documents
- Add a new "List" for Practice Documents
Note: I am choosing this location and not adding a section to the "My Forms" page so we could have more options for filtering and searching and also a table view.
- This location is a list of practice documents
- Can be viewed in "File" view with big boxes (like Client Files) or you can change the view to be a table view
- You can upload documents into folders and subfolders (Like Client Files)
- These documents behave just like a normal client file
Fax, Share, Attach to a Client Note, Share to client portal
- {NEW} You can share with staff via a direct message in team messaging
Filters:
- You can search by title
- You can filter by "Added Date"
- You can filter by file type
- You can filter by tag

Tyson Edwards: how will this affect storage? Will you be charging extra fee?
I like the client facing, this would be a huge time saving to not open my drive.
If I have documents for clients that I use every time, would I be able to store under practice and have an easy access from client profile?

Tyson Edwards: I love this idea! It would really help with sharing patient education documents.

Tyson Edwards: in addition the need to have the ability to lock down HR or practice related forms to specific users.

Tyson Edwards: Honestly I think this is biting off more than what you should be doing now. There are much higher priorities on the bug fix/enhancement area. So many things that have a higher value proposition. For example if you want "document sharing" - how about fix the crazy number of clicks it takes to share a document like an after visit summary or fix snippets so that we can actually control and manage documents and phrases in there. Or fix formatting so that we can have a cleaner more professional look.
I don't share documents with patients in part because the download etc features are cumbersome. I share URLs and have the documents as shared reach only docs on my google drive or website, this affords a much higher control of version management (required to liability and risk mitigation, which you don't offer anyway). Having a link to the document means they can refer back to it all the time and see the most recent version. Version control in a cloud drive also means I have that legacy data - all if which is requred in a courtroom should we ever get there

Tyson Edwards: Thanks for your hard work on this, Tyson. The only think I would add is that it would be helpful to be able to designate various levels of permission to individual staff members/administrators. In other words, it would be helpful to be able to grant access to items, both, on a counselor-by-counselor basis, as well as practice-wide (see Beverly's comment above).
Irrespective of this addition, though, this feature will be very helpful for many of us. Again, thanks for your hard work.

Tyson Edwards: this sounds great! Will you be able to access clients facing documents from the video chat so they pop up in the screen while in session? Screen share doesn’t seem to work on my Apple iPad.
Thanks.
